1. Who we are

2. Information we collect
Depending on how you use the service, we may process:
- Account information — email address, authentication identifiers, and profile details you provide (for example name, location, occupation, goals, and preferences).
- Team & product data — advisors you add, customizations, rooms, projects, goals, files you upload, and settings such as model preferences.
- Conversations & memory — messages you send to Orbi or specialists, memory items you save or that the product proposes for your confirmation, and related metadata (timestamps, which advisor was involved).
- Usage & capacity — approximate capacity consumption, feature usage, device/browser type, IP address, and diagnostic logs needed to operate and secure the service.
- Payment information — if paid plans are enabled, billing details are typically processed by a payment provider; we receive limited subscription status and receipts, not full card numbers.
3. How we use information
We use personal information to:
- Provide, personalize, and improve your AI team experience
- Route requests to appropriate models and enforce capacity / plan limits
- Maintain memory scopes and permissions you configure
- Authenticate you, prevent abuse, and keep the service secure
- Communicate about the product, security notices, and (with consent where required) product updates
- Comply with law and enforce our Terms and Acceptable Use Policy
We do not sell your personal information. We do not use your private conversations or memory to train foundation models for unrelated public products, unless we clearly obtain a separate opt-in for a specific program.
4. AI providers and processors
To generate responses, Orbit may send prompts, relevant context, and attachments you choose to third-party model providers (for example OpenAI, xAI, or Anthropic) acting as processors on our behalf. Those providers process content under their terms and our agreements with them. Do not submit information you are not comfortable sharing with such processors.
We also use infrastructure providers (hosting, authentication, databases, analytics, email) to run the service. They are permitted to process data only as needed to provide their services to us.
5. Memory, silos, and sensitive topics
Orbit is designed so advisors only see what you allow. You can review, edit, and delete memory in-product. Health, relationship, money, and similar domains may be treated as sensitive; still, anything you type into a conversation may be processed to generate a reply. Do not rely on the product as a vault for highly regulated secrets (passwords, full payment card data, government ID numbers) unless a dedicated, documented feature says otherwise.
6. Legal bases (where applicable)
Where GDPR or similar laws apply, we rely on one or more of: performance of a contract (providing the service), legitimate interests (security, product improvement, fraud prevention), consent (where we ask for it), and legal obligation.
7. Retention
We retain account and product data while your account is active and for a reasonable period afterward for backups, dispute resolution, and legal compliance. You may request deletion of your account; some limited records may remain where we must keep them (for example security logs or financial records).
8. Your rights
Depending on your location, you may have rights to access, correct, delete, export, or restrict certain processing of your personal information, and to object to certain uses. Contact privacy@example.com. We may need to verify your identity before fulfilling a request.
9. Children
Orbit is not directed to children under 13 (or the higher age required in your jurisdiction for digital consent). We do not knowingly collect personal information from children. If you believe a child has provided information, contact us and we will take appropriate steps.
10. International transfers
We may process and store information in the United States and other countries where we or our processors operate. Where required, we use appropriate safeguards for cross-border transfers.
11. Security
We use administrative, technical, and organizational measures designed to protect personal information (including access controls and encrypted transport). No method of transmission or storage is completely secure; please use a strong unique password and protect your devices.

13. Changes
We may update this Policy from time to time. We will revise the “Last updated” date and, for material changes, provide additional notice where appropriate. Continued use after changes become effective means you accept the updated Policy.
